Refund & Cancellation Policy

At GCAI, we are committed to providing high-quality certification, audit, assessment, compliance, and training services. This Refund & Cancellation Policy explains the terms applicable to cancellations, refunds, rescheduling, and payments made for our services.
1. General Policy
All payments made to GCAI for certification, audit, assessment, consulting, compliance, training, or related professional services are subject to the terms outlined in this policy and any applicable service agreement, quotation, proposal, or contract.
By making a payment or engaging our services, you acknowledge and agree to this Refund & Cancellation Policy.
2. Cancellation by the Client
Clients may request cancellation of a service by submitting a written request to GCAI.

The effective cancellation date will be the date on which GCAI receives the written cancellation request.
Any refund eligibility will depend on the stage of service delivery, resources already allocated, work completed, administrative costs incurred, third-party charges, and the specific terms agreed upon in the applicable proposal or service agreement.
3. Refund Eligibility
Refunds, where applicable, will be considered under the following conditions:
A cancellation request is received before substantial work has commenced.
No audit, assessment, certification review, training session, consultation, or other professional service has been delivered.
No significant resources, auditors, trainers, assessors, or third-party services have been allocated or engaged.
The applicable service agreement or proposal permits a refund.
Any approved refund may be subject to deductions for administrative charges, payment processing fees, taxes, third-party costs, and work already completed.
4. Non-Refundable Payments
Payments may be non-refundable in the following circumstances:
The audit, assessment, certification, consultation, or training process has already commenced.
An auditor, assessor, trainer, consultant, or other professional has already been assigned.
Documentation review, application review, gap assessment, Stage 1 audit, Stage 2 audit, or any other agreed service activity has commenced.
Certificates, reports, credentials, course materials, or digital resources have already been issued or provided.
The client fails to attend a scheduled audit, assessment, consultation, or training session without adequate prior notice.
Third-party accreditation, examination, certification, travel, accommodation, or other external costs have already been incurred.
The payment relates to a non-refundable registration, application, examination, or administrative fee.
5. Rescheduling Policy
Requests to reschedule audits, assessments, consultations, examinations, or training sessions must be submitted in writing within a reasonable period before the scheduled date.
Rescheduling is subject to the availability of auditors, assessors, trainers, consultants, and other required resources. Additional charges may apply if GCAI has already incurred travel, accommodation, administrative, third-party, or resource allocation costs.
Repeated rescheduling requests may be treated as a cancellation and may be subject to applicable cancellation charges.
6. Training Programs and Courses
For training programs, workshops, auditor courses, or other educational services:
Fees may become non-refundable once access to course materials, digital content, recordings, learning platforms, or credentials has been provided.
Fees may also be non-refundable once a live or scheduled training session has commenced.
Failure to attend a scheduled training session does not automatically qualify the participant for a refund.
Any transfer to another batch or rescheduling request is subject to availability and approval by GCAI.
7. Certification and Audit Services
Certification and audit fees cover professional time, technical review, auditor allocation, administrative processing, documentation assessment, audit activities, certification decision processes, and related resources.
Accordingly, payments may become partially or fully non-refundable once these activities have commenced or resources have been committed.
Certification issuance is subject to successful completion of applicable audit, assessment, and technical review requirements. Payment of fees does not guarantee certification.
8. Cancellation by GCAI
GCAI reserves the right to cancel, postpone, or reschedule a service due to unforeseen circumstances, auditor or trainer unavailability, regulatory requirements, force majeure events, technical issues, or other circumstances beyond reasonable control.
Where GCAI cancels a service and no suitable alternative or rescheduled date can be provided, the client may be eligible for a full or partial refund of the amount paid for the undelivered portion of the service.
GCAI will not be responsible for indirect or consequential expenses incurred by the client, including travel, accommodation, loss of business, or other incidental costs, unless expressly agreed otherwise in writing.
9. Refund Processing
Approved refunds will be processed through the original payment method wherever reasonably possible.
The time required for the refunded amount to appear in the client’s account may vary depending on the payment provider, financial institution, card issuer, or banking network.
Any applicable bank charges, payment gateway fees, currency conversion charges, taxes, or third-party processing fees may be deducted from the refund where legally permissible.
10. Chargebacks and Payment Disputes
Clients are encouraged to contact GCAI directly before initiating a chargeback or payment dispute so that the matter can be reviewed and resolved appropriately.
Fraudulent, unjustified, or abusive chargebacks may result in suspension of services, withholding of deliverables where legally permissible, and recovery of associated costs.
11. Exceptions
Any exception to this policy must be expressly approved by GCAI in writing. Verbal commitments or informal communications will not override this policy or the terms of an executed service agreement.
Where a specific contract, quotation, proposal, or service agreement contains refund or cancellation provisions that differ from this policy, the terms of that specific agreement will prevail to the extent of any inconsistency.
